Koda HRMS is an HR software tailored for small to medium-sized enterprises

Koda HRMS is a web application that transforms how small and medium-sized businesses handle Human Resources. It replaces manual processes with automation to make data management easier, simplify administrative tasks, and improve the experience for the businesses.

The Challenge

HR tasks can be tough. Those who manage them often struggle with handling a lot of employee information, ensuring accurate and timely pay without compromising privacy, and juggling various responsibilities like bringing in new team members and maintaining smooth operations.

In small and medium-sized companies, it gets even harder because the people handling these tasks are often business owners or other staff, and doing it manually can be a real challenge.
So, the question is: How can we create a user-friendly web application to effectively assist people in small and medium-sized businesses with HR tasks, such as onboarding new employees, maintaining employee records, and monitoring payroll?

My Role

As the UI/UX designer, my responsibilities included comprehending user needs, identifying practical solutions, and creating visually appealing designs. Maintaining transparent communication with team members was crucial to ensure effective collaboration.

The Process

Learning The Ropes

Initiating the project involved conducting thorough secondary research to delve into the challenges faced by SMEs using manual methods and other tools. Identified challenges and pain points included:

  • Time-consuming and overwhelming onboarding processes for new employees.

  • Payroll calculation errors and security concerns.

  • Reliance on insecure manual methods, such as hard copies or Excel sheets to keep employee data.

  • Scalability issues as businesses grow.

Setting Our Goals

  1. Improved Onboarding: Making the welcome process for new team members simpler and better.

  2. Optimized Data Management: Improving the efficiency and storage of employee information.

  3. Seamless Payroll: Guaranteeing accurate and secure payment procedures to ensure accuracy, security, and compliance for all employees.

  4. Designing a Scalable Solution: Creating a flexible and scalable HRMS capable of adapting to evolving business needs.

Design and Validation: Crafting User-Centric Solutions

I generated designs, crafted prototypes, and conducted tests for the application with a focus on:

  1. Intuitive Navigation: Ensuring effortless access to essential features.

  2. User-Friendly Interface: Adopting a minimalist and clear design ethos for enhanced usability.

  3. Iterative Feedback: Integrating feedback from other team members and stakeholders to continuously refine the design.
